PSB BOISJOLI is currently seeking an Executive Administrative Assistant to support Tax Partners as well as senior staff members with general administrative duties.
Key Accountabilities & Responsibilities
- Manage and maintain executive schedules, including arranging meetings, appointments, and travel.
- Prepare, review and edit correspondence, communications, presentations, and other documents.
- Track and help drive completion of key deliverables and follow up on outstanding items.
- Serve as a point of contact between the executives and clients.
- Communicate with government representatives;
- Coordinate requests from governments (MRQ, CRA);
- Manage invoices, payments, and other financial documentation as needed.
- Play a key role during Tax season; (compiling corporate taxes, trusts, and partnership returns), and proactively ensuring that all monthly deadlines are met.
- Manage timesheet completion for executives.
- Do various reporting upon request using the various internal databases available
- Prepare expense reports and submit insurance claims;
- Handle confidential information and maintain the security of executive and client files.
- Participate in diverse administrative projects as required;
- and execute additional administrative tasks as necessary.

- Bilingual: Excellent written and spoken French and English;
- Strong communication skills;
- Collaborative and team-focused;
- Flexibility to work additional hours during peak periods;
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CaseWare (an asset).
Qualifications
- Post-secondary education in administration;
- Minimum of five (5) years of work experience as an Executive Administrative Assistant. Working within an accounting firm or other professional services firm is a strong asset;
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks simultaneously and meet deadlines.
- High level of discretion and confidentiality.
- Professional demeanor and ability to work well with all levels of internal management and staff, as well as outside clients.
