PSB Boisjoli is looking for a Facilities and Office Services Team Lead to manage facilities and ensure the office environment is conducive to productivity, oversee daily operations, safety, and comfort. This role works closely with the Office Manager for the day-to-day Office Services responsibilities and VP of HR to help manage office facilities, health and safety, and vendor relationships.
Responsibilities
- Lead the Office Services team, manage overtime approvals, and serve as performance coach.
- Allocate tasks within the team and ensure tasks are completed efficiently.
- Oversee office operations, supplies, and filing systems to ensure efficiency and high-quality standards.
- Organize and maintain the office warehouse, including archiving, and file location management.
- Evaluate current processes and initiate new ones as needed to enhance efficiency and effectiveness.
- Manage inventory and procurement processes, including cost analysis and timely ordering.
- Coordinating moves, layouts, and furniture arrangements.
- Support onboarding and offboarding as it relates to office services-related processes.
- Manage catering coordination, ensuring food supplies are fresh, varied, and delivered punctually.
- Maintain vendor relationships to ensure timely payments, contract adherence, and service quality.
- Oversee building maintenance, coordinating repairs, equipment upgrades, etc.
- Liaise with building management to uphold routine maintenance and cleaning standards.
- Administer office access control, including parking, security cards, and overall security measures.
- Assist with emergency preparedness efforts by organizing response plans, conducting safety checks, and maintaining emergency supplies.
- Proactively identify and resolve potential issues to ensure seamless facility operations.
- Participate in sustainability initiatives through the firm’s Green Committee.
- Ability to adapt to changing priorities and respond swiftly to unforeseen challenges.
Qualifications
- Post-secondary education in administration is an asset.
- Bilingual (French and English), both written and spoken.
- At least 4 years of experience in office management or team lead role, (ideally in a professional services firm).
- Demonstrated organizational skills with strong attention to detail.
- Ability to prioritize tasks, multitask, and work collaboratively.
- Results driven mindset.
- Flexibility to work additional hours during peak periods.
